Job Summary:

Reporting to the Manager, Insurance & Fleet Services, the Fleet Services Analyst is responsible for coordinating all administrative, support, and financial processes and procedures including project management and analytical support to Insurance & Fleet Services.  This role ensures that all business processes are in place, completed with documentation and reporting standards.

 

Responsibilities:

  • Work closely with the Insurance & Fleet Services team regarding project setup in SAP; allocation of budgets; cost centres; creation of purchase orders; goods receipt management, invoice processing and coding; and payment troubleshooting.
  • Close out of capital and operational projects as well as department purchase orders to maintain SAP integrity.
  • Maintain and report on queries regarding payment, accounts, project status and general project budget and cost queries.
  • Manage department’s shared email boxes, responding to inquiries or delegating to appropriate team members.
  • Set up new department vendors in SAP.
  • Responsible for the coordination and administration of fleet inventory management, ensuring fleet attributes are current and accurate in all platforms
  • Accountable for maintaining the telematics platform, acting as key contact both internally and externally.
  • General contract and project administration as direct by department team members
  • Review, edit and assist in research for all department policies and procedures, maintaining quality assurance and corporate standards.
  • Maintain current documents on the UFA intranet and Agent platform.
  • Review monthly fleet spend against budget and provide regular reporting
  • Prepare analytics as required on a variety of metrics to assist in identifying trends in fleet spend
  • Recommend process improvements and cost-savings initiatives based on data insights
  • Validating telematic events and reporting into the Incident Management System for management review
  • Manage UFA driver database and abstract requests, ensuring driver files are current and compliant with National Safety Code requirements.

 

 Qualifications:

  • Post-secondary education, preferably in general business accounting and/or project management experience or equivalent
  • 1-3 years of related experience, ideally in business operations or fleet coordination
  • Commercial fleet experience, including but not limited to government regulations, fleet management vendors, and telematics platforms, is considered an asset
  • Proficiency in Microsoft Office, including intermediate-level Excel skills
  • Strong analytical and problem-solving skills with attention to detail
  • Excellent written and verbal communication skills
  • Able to work autonomously and be self-directed
