Job Summary:
Reporting to the Manager, Operations, the Operations Analyst - Expense Control supports centralized operations across UFA’s network. The role supports operational processes, maintains documentation and records, prepares reports, and collaborates with internal stakeholders to ensure smooth day‑to‑day operations.
Responsibilities:
- Support general operational processes by coordinating activities, resolving issues, and facilitating communication among internal teams.
- Compile, maintain, and prepare operational data, reports, and documentation to support decision‑making and ongoing operational needs.
- Maintain and update operational records, documents, and reference materials to ensure accuracy and accessibility.
- Assist with monitoring process performance and identifying opportunities for operational improvement.
- Provide administrative support to operations leadership and contribute to cross‑functional coordination efforts.
- Analysts aligned to this specialty focus on centralized operational processes, transaction accuracy, and service compliance.
- Support the management of centralized service functions across multiple sites and jurisdictions.
- Own and maintain the cross-site RFID tag lifecycle, including registration accuracy, inventory validation, discrepancy reconciliation, and corrective action tracking.
- Standardize and support purchase order practices (service, stock, product, warranty/repair, recurring), including cycle time and first-pass match tracking.
- Oversee returns and case management processes, including daily triage of COR360 cases and escalation of exceptions.
- Compile and distribute recurring analytics related to purchase orders, returns, warranties, and transaction accuracy.
- Support AWSA audit readiness by coordinating documentation, readiness reviews, corrective actions, and stakeholder follow-up.
- Partner with Accounts Payable to resolve invoice discrepancies, credits, and disputes, and reduce exception aging.
- Support onboarding and upskilling of teams on standard processes, tools, and operational procedures.
Qualifications:
- Diploma or degree in Business Administration, Communications, Information Management, or a related field, or equivalent experience.
- Minimum 5+ years of experience in operations, administrative, or business support environment.
- Strong attention to detail, organizational skills, and the ability to manage multiple priorities.
- Effective written and verbal communication skills and the ability to work collaboratively with cross‑functional teams.
- Proficiency with standard office software; experience with data management, reporting tools, or ERP systems is an asset.
- Experience supporting audits, regulatory compliance, or licensing processes is considered an asset.
- Experience in operational compliance/transaction support is required.
- Accounts Payable or financial transaction experience is considered an asset.
- SAP experience is an asset.
- Advanced Excel skills; familiarity with Power BI or similar reporting tools is an asset.
- Experience with document management systems or intranet/content management platforms is an asset (for governance-aligned roles).
