Job Summary:

Reporting to the Manager, Operations, the Operations Coordinator provides advanced centralized operational, financial, and program administration across UFA’s network. The role is accountable for managing critical, high-volume processes and programs that require independent judgment, strong business acumen, and the ability to influence outcomes across field teams, vendors, and internal stakeholders while ensuring compliance, service continuity, and operational effectiveness.

 

The role owns and optimizes purchase order management, central services management, expense management, RFID tag management, the clothing program, community giving, network project coordination, communications, and CRM-related administration. Each role is responsible for driving service delivery, resolving complex issues, identifying process improvement opportunities, and ensuring consistent execution, data integrity, stakeholder alignment, and adherence to company policy and regulatory requirements within its assigned portfolio.

 

Responsibilities:

 

  • Own RFID tag management activities, including compliance administration, documentation control, inventory oversight, issue resolution, and coordination with field locations to ensure adherence to CFIA requirements and internal standards.
  • Own administration of the clothing program, including coordination of orders, resolution of issues, communication with locations, maintenance of records, and identification of improvement opportunities to enhance service delivery.
  • Lead coordination of community giving activities, including intake, tracking, communication, and administrative oversight to ensure consistent execution, accurate documentation, and alignment with departmental priorities.
  • Lead shared administrative coordination by maintaining accurate records, managing inquiries, and driving follow-up actions with internal and external stakeholders to support service continuity and operational consistency.
  • Coordinate network projects, communications, and CRM-related administration by maintaining data integrity, driving updates and follow-up actions, supporting execution of network initiatives, and ensuring timely, effective communication with internal and external stakeholders.
  • Rotational Saturday hours to support RFID tag registration.

 

Qualifications:

  • High school diploma and at least three (3) years of progressively responsible experience in administration, coordination, accounts payable, program administration, or equivalent experience in a multi-unit environment.
  • Strong organizational, analytical, and prioritization skills with a high level of accuracy, attention to detail, and the ability to manage competing priorities in a dynamic environment.
  • Demonstrated ability to exercise sound judgment, manage competing priorities independently, and coordinate effectively across multiple stakeholders and operational groups.
  • Advanced proficiency in SAP, CRM, and Microsoft 365 tools, with the ability to work across systems, maintain data integrity, and support process standardization and reporting.
  • Proven ability to manage multiple priorities, meet deadlines, and maintain confidentiality in a fast-paced environment.
  • Strong written and verbal communication skills with the ability to work effectively with internal and external stakeholders.
  • Willingness to travel offsite to retail or warehouse locations as needed.
  • Experience owning purchase orders, expenses, centralized administration, inventory-related processes, program coordination, or network initiatives, with demonstrated ability to identify and implement process improvements, is preferred.
