PROGRAM LOGISTICS COORDINATOR - ROLE CHARTER
STRATEGIC PURPOSE OF THE ROLE:
The Program Logistics Coordinator is responsible for coordinating and optimizing the participants experience within UFAs employee programs. This role manages placements across the UFAs network, coordinates relocation and transition logistics, serves as the primary point of contact for participants and field operational leaders, and ensures the successful execution of program activities. Through proactive stakeholder support, process management, and continuous improvement, the role helps create a seamless development experience that prepares participants for success.

We deliver a high-quality participant and stakeholder experience through proactive planning, strong communication, and operational excellence. We coordinate placements, relocations, onboarding activities, and assignment transitions by partnering closely with participants, field leaders, and internal stakeholders. We monitor progress, gather feedback, identify opportunities for improvement, and continuously refine processes to ensure the program remains efficient, scalable, and impactful. Above all, we focus on reducing complexity, providing exceptional support, and creating positive experiences for participants and leaders throughout the program journey.

KEY ACCOUNTABILITIES:
- Coordinate participant placement into field leadership development assignments across the UFAs network.
- Manage placement timelines, assignment details, and participant tracking.
- Partner with field operational leaders to identify placement opportunities and program requirements.
- Coordinate participant relocation activities and ensure adherence to established processes and policies.
- Act as the primary point of contact for participants throughout their program journey.
- Provide timely support and resolution for participant and stakeholder inquiries.
- Build strong relationships with field operational leaders and program stakeholders.
- Coordinate onboarding activities, assignment transitions, and key program milestones.
- Facilitate clear communication between participants, operational leaders, and internal support teams.
- Maintain program records, tracking tools, and documentation.
- Monitor participant progress and escalate issues or risks as appropriate.
- Gather participant and stakeholder feedback throughout the program lifecycle.
- Analyze feedback and identify opportunities to improve program processes and participant experience.
- Recommend and implement improvements that increase efficiency, consistency, and stakeholder satisfaction.
- Support reporting and program evaluation activities to inform future program enhancements.

- Effective coordination and execution of program milestones and activities.
EXPERIENCE & CAPABILITIES
- Bachelor's degree in Human Resources, Business, Operations, Logistics, Education, or a related field is preferred.
- 3+ years of experience in program coordination, operations, logistics, HR, learning, or related fields.
- Experience coordinating multiple stakeholders, timelines, and competing priorities.
- Experience supporting field-based and/or geographically dispersed teams.
- Strong customer service and stakeholder relationship management skills.
- Exceptional organizational and project coordination capabilities.
- Strong verbal and written communication skills.
- Experience managing data, tracking tools, and reporting requirements.
- Ability to identify and resolve issues proactively.
- Demonstrated ability to manage confidential information with discretion.
- Strong attention to detail and process management skills.
- Continuous improvement mindset with the ability to identify opportunities and implement solutions.
- Ability to travel through Western Canada when needed.
