Job Summary:
Reporting to the Sr. Manager, Treasury, Risk and Planning, the Supervisor, Facilities & Property Management will oversee facilities and mailroom functions and assist with the day-to-day operations of the UFA real estate portfolio. The mandate is to support the organization through the efficient operation of UFA’s physical assets, acquisition/divestiture, lease management and negotiation. The role will also coordinate all other non-operating properties and general real estate requests and will be accountable to ensure the workflow to support UFA’s real estate and facilities needs are in place, working effectively and efficiently.
Responsibilities:
- Oversee the operations of UFA’s Calgary Support Office (CSO) including the performance of two direct reports, Facilities Lead and Facilities Coordinator.
- Responsible for relationship management with landlords at all leased sites
- Responsible for ensuring that the back office and workflow to support UFA’s facilities needs are in place and working effectively and efficiently.
- Build and maintain positive working relationships with tenants, neighbors, local authorities, and stakeholders. Ensure quality control and client satisfaction with overall team performance.
- Provide coordination of facilities services, scheduling with sites, oversee PO creation and follow up, invoice handling, and vendor set-up etc.
- Maintenance Program process development and implementation. Facilitate regular vendor RFQ’s
- Management of vacant sites and facilities setup of new sites including services such as utilities, waste management, security, lawn maintenance
- Oversee and in collaboration with the Accounting Department to prepare and review all incoming and outgoing annual lease reconciliations and rent schedules.
- Responsible for assisting with budgets, forecasting, and reconciling all property income and expenses.
- Review and payment of property taxes and business licenses at all sites
- Coordination of utilities and waste services programs including vendor selection and contract negotiations
Qualifications:
- A Post-secondary degree or equivalent in general business or economics/accounting and real estate is required.
- 8+ years direct Property/Facility Management including tenant and vendor communication, tenant relations and facilities management
- Accounting acumen preferred – SAP experience, Microsoft Word and Excel, Power Point.
- Conversant with commercial leasing and property operations, preferably including the retail or industrial sectors.
- Demonstrate agility and problem-solving skills.
- Strong communication skills and team player.
- General business acumen – a good understanding of how the various components of the enterprise integrate with and depend upon each other.
